Committee Meeting 26-Feb-2026 Membership Report

Report on Membership for the Committee Meeting on 26th February 2026 by Violet Rook

Actions from 10th January to Date

  1. Sent the newsletter to members via email.
  2. Answered about 12 queries about the password for the website.
  3. Attended the January individual members meeting.
  4. Attended the members' online Zoom monthly meeting.
  5. This numbered item was missing from the original report.
  6. Updated the database on 1st and 16th February.
  7. Discussions with Vanessa Lester, Kevin Machin, and Liz Ashcroft concerning the membership database on Dropbox.
  8. Vanessa Lester prepared a report from advice from her relative about the membership database. She reduced the membership from 1.500 to 500 and provided a directory list of individual members.
  9. Kevin Machin provided a report concerning the website and the database on Dropbox. This indicated the long-term problems therein.

An automatically generated directory now generates the membership data to the group directory.

He analysed membership Data. The number of groups has remained between 80 and 100. The number of individual members has doubled from around 60 to 120.

He also mentions hidden rows and filters which influence this. He has written a guide for users which is on Dropbox for committee members to download.

  10. Emailed Kevin information regarding a member whose details were entered twice on the database with two numbers. This information Kevin could not find. The secretary had been in contact with the lead person via six emails since 2024 in this regard and had provided newsletters, welcome letters and the Link magazine.

The membership secretary had progressed only the main page of the database since 2022, as she was advised this was her main responsibility.

  11. I sent a welcome letter containing NAWG membership number and password for website member's page. Also sent a copy of the most recent Link magazine plus a copy of the most recent newsletter to new members upon receiving their application form and proof of payment. The proof of payment was either via BACS or a scan of a PayPal payment.

Note: one member who lives in UAE tried more than five times to complete her membership via the website, but there were difficulties regarding her change of bank card details and telephone numbers. She has been kept on the database and will pay her subscription when she returns to the UK. I believe she is known to Vanessa Lester.

The IT technician reports indicate payment methods are being considered in regard to the shop.
